Privacy Policy
Privacy is essential
We, from HealthEmove, consider data protection very important.
Who is responsible for your personal data?
Currently HealthEmove is re-designing it’s software. Therefore we have two policy statements in place.
Did you get an HealthEmove account after 01-12-2025, the privacy policy below applies to you.
Did you get an HealthEmove account before 30-11-2025? At the bottom of the page you will find the privacy statement of Patients Know Best, the former software that we used.
Who is responsible for your personal data?
HealthEmove is an app from the Amsterdam Health & Technology Institute (“Ahti”). Ahti is a not-for-profit organisation. Ahti is responsible for the processing of your personal data within the pilot HealthEmove. You decide which data you add to the HealthEmove application and how you use the application. Ahti does not see the content of your data.
Which personal data do we process?
When you use the app, the following data may be processed:
- Your contact information (for example your name and email address)
- Your account information (the username and password you choose)
- (Pictures of) care‑ or medical documents that you add, for example, documents from doctors, care providers or other professionals.
- Other information and documents that you enter into the app — such as life events, notes or voice messages.
- Usage and research information: anonymous or statistical information about your use of the app (e.g. which button you click) and your answers to questions about HealthEmove. This is used for research and further development (“Research Information”).
We cannot see the contents of your care documents (or other information) that you add.
Optional: Help with retrieving care documents
If you want support in obtaining care‑documents, you may choose to be assisted by a member of the HealthEmove team of Ahti. We can help by providing an explanation and a step‑by‑step plan; you yourself request the documents from your care providers and receive them. Afterwards, you upload the documents into the app.
Where are your personal data stored?
Care documents and other information that you add to the app are stored in your personal “data vault”. This vault is hosted on servers in the EU (Germany). Your data vault is a private, isolated portion of the storage on these servers. The information is encrypted. It canonly be decrypted by you and is only decrypted and shared with others when you choose to do so.
How do we secure your personal data?
- Access to the app is secured via a One Time Password (OTP) which you receive via email. This means you receive an email to confirm your identity when you first use the app and whenever you log-in. Afterwards, you may be asked if you want to enable biometric protection (e.g. fingerprint or face recognition) for extra security.
- Both the server hosting the app and the internet connections used are strictly secured against misuse and unauthorized access, in compliance with the legal standards for processing health data (NEN7510).
- When your personal data is transmitted over the internet, they are always encrypted; likewise, when stored, they remain encrypted.
Who has access to your personal data?
You have full control over your personal data in the app: you decide what you store and with whom (e.g. a doctor) you share it.
Employees of Ahti (HealthEmove team) and service providers engaged by Ahti — for instance the hosting provider — only have access to encrypted data, meaning they cannot read the contents of your care documents (or other information) that you add.
The app is hosted with a provider: Amazon Web Services, “AWS”, in Germany. The translation service, which translates (medical) documents into other languages, of the app is hosted with Microsoft Azure in Sweden. AHTI has an agreement with both AWS and Microsoft Azure which complies with European privacy legislation. All the personal data that is sent to AWS and/or Microsoft Azure is immediately encrypted before being stored. AWS and Microsoft Azure have no access to your data outside the European Economic Area (EEA).
Are my personal data used for other purposes?
No. Your personal data is used exclusively for the pilot and for scientific purposes. The usage statistics (research information) about your use of the app and your answers to research questions are only used for further development of the app and scientific research. For scientific research, all data will be anonymized and cannot be traced back to individuals. Data may be used for scientific publication purposes.
Your data is not used for commercial purposes.
How long do we keep your personal data?
You can stop participating in the pilot at any time. You then have two options:
- a)Stop participating in the research program: then you keep access to the app and your data in the data‑vault.
- b)Stop using the app: in that case your account is terminated, and your data vault is deleted. Your personal data will then be removed from the system within one month.
If you want to stop (option a or b): email info@healthemove.org, we will remove you from the system within one month.
The research information collected up until that moment remains but is anonymised so it cannot be linked back to you.
What rights do I have regarding my personal data?
You have the right to access, correct any incorrect or incomplete personal data, and to request deletion of personal data — for example when it is no longer needed. You can exercise these rights by viewing, modifying or deleting the information you entered yourself in the app (via HealthEmove), or by asking for help from the HealthEmove team.
Information from care documents cannot be modified; only the relevant care professional can change that information. You can, however, delete care documents or add additional information within the HealthEmove app.
